1

Create your account

~1 min

Head to the app and sign up with your email and a password — that's the whole setup. No credit card, nothing to install. You'll land straight in an empty workspace that's yours. Small churches stay free; you only pay once you're past a handful of paid staff, and volunteers never count.

2

Build your first chart — the 3-role starter

~2 min

Don't overthink it. Start with three boxes: your lead pastor at the top, and two roles reporting up — say a worship director and a kids director. Drag to add a box, drop it under a leader to set the reporting line, and you've got the skeleton of your church on the screen. You can rearrange it anytime — nothing is locked in.

3

Add your people and their pay

~2 min

Click a role and fill in who's in it and what they earn — a name, a salary, and whether they're clergy or regular staff. If it's a pastor with a housing allowance, there's a spot for that too. Mark volunteers and open roles as you go; they're always free and never count toward your paid seats.

4

Read your true costs

~1 min

Here's where it gets useful. StaffClarity adds up each role's real, fully-loaded cost — salary plus the employer payroll taxes on your staff, and the correct clergy treatment (housing allowance and SECA) for your pastors — and rolls it all into a live personnel total. The number you see is the number you'll actually spend, before benefits.

5

Turn on the market-pay check

~1 min

Flip on the market-pay check and each role gets a simple green / yellow / red flag — on-market, under, or over — benchmarked to your church's size and your part of the country from national wage and cost-of-living data. It's a quiet gut-check on whether you're paying your people fairly, right there on the chart.

6

Export your first board packet

~1 min

When it's time to face the board, click export. StaffClarity generates a clean, print-ready packet — your org chart, the role-by-role costs, and a salary summary — that you can hand across the table. The hardest part of board prep, already done.
